Together, these are referred to in this Privacy Policy as the “Platform.”

This Privacy Policy is intended to satisfy privacy-policy requirements for HFG’s website, mobile applications, enterprise platform, and Apple App Store listing. It is also designed to provide clear notice regarding HFG’s handling of personal information, policy-related information, advisor information, organization information, and client-facing platform data.

HFG provides financial governance infrastructure for post-issue operational visibility, record organization, advisor workflows, client continuity, and auditability. HFG is not an insurance carrier. HFG does not underwrite insurance, issue insurance policies, provide legal advice, provide tax advice, provide investment advice, or make insurance-product recommendations through the Platform.

1. Scope of This Privacy Policy

This Privacy Policy applies when you:

  • Visit an HFG website;
  • Create or access an HFG account;
  • Use HFG | Vault™, AdvisorOS™, ClientOS™, AdminOS™, or Trevor™;
  • Are invited to the Platform by an advisor, agency, IMO, BGA, carrier, employer, or other organization;

This Privacy Policy does not apply to websites, applications, carrier portals, CRM systems, payment processors, insurance carriers, broker-dealers, agencies, IMOs, BGAs, or third-party services that are not owned or controlled by HFG. If you leave the Platform through a carrier portal link, advisor link, external resource, or third-party integration, that third party’s privacy policy and terms apply.

2. Important Platform Privacy Principles

HFG’s Platform is built around privacy, data minimization, governance, and controlled access. Our core privacy principles are:

  1. Limited Purpose Collection. We collect information needed to operate, secure, support, and improve the Platform.
  2. No Advertising Tracking. We do not sell personal information for advertising purposes. We do not use the Platform to track users across unrelated apps or websites for targeted advertising.
  3. No Email Body Collection for Trevor™ Event Detection. Where Trevor™ or advisor-governance features connect to an authorized email account or mailbox signal source, HFG is designed to process limited message-envelope and routing information, such as sender, sender domain, subject line, timestamp, header identifiers, and related classification signals. HFG does not collect or store full email body content for Trevor™ event detection unless a future feature is expressly disclosed and separately authorized.
  4. No Client Document Uploads Unless Separately Enabled. Clients are not intended to upload, edit, or modify policy documents or policy records through the Platform unless HFG expressly enables that functionality in a future release. Policy records are generally created, updated, or administered by authorized advisors, administrators, organizations, or HFG-authorized personnel.
  5. Advisor and Admin Verification. The Platform may surface governance events, workflow recommendations, timeline entries, record signals, or audit events, but advisor or administrator review may be required before certain communications, updates, or resolutions are completed.
  6. Carrier-Neutral and Agency-Neutral Infrastructure. HFG is designed as carrier-neutral, IMO-neutral, and agency-neutral technology infrastructure. HFG does not require carrier APIs to operate unless a specific integration is separately agreed to and disclosed.
  7. Auditability and Record Integrity. Certain events, actions, approvals, changes, timestamps, user activity, workflow decisions, and system events may be retained in audit logs to support security, compliance, continuity, dispute resolution, and institutional recordkeeping.

Certain records may be retained where required by law, contract, security, audit, dispute-resolution, financial, insurance, or compliance obligations.

10. Account Creation, Access, and Deletion

If you create an HFG account, you may access or update certain account information through your account settings or by contacting HFG.

12. Google API Services and Limited Use Disclosure

Where a client chooses to connect a Gmail inbox, HFG | Vault™ accesses that account through Google’s OAuth consent process to support Trevor™ governance event detection. This connection is optional and is established only with the client’s opt-in consent.

The connection uses Google’s Gmail metadata scope (“gmail.metadata”). Under this scope:

  • Access is limited to Gmail message metadata only: sender, subject line, and date;
  • Message bodies and attachments are technically inaccessible to HFG;
  • Only metadata from recognized insurance-carrier senders is retained. Metadata from all other senders is discarded immediately and is not stored;
  • Google user data is not used for advertising purposes, is not sold, and is not transferred to third parties.

A client may disconnect the Gmail connection at any time from settings within the app or from their Google Account settings. Disconnecting revokes HFG’s access and permanently deletes the stored authorization token.

HFG | Vault’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

14. Cookies, Analytics, and Similar Technologies

HFG may use cookies and similar technologies for authentication, security, analytics, preferences, error detection, session management, and Platform improvement.

You may control cookies through browser settings. If you disable cookies, some Platform features may not work properly.

HFG does not use cookies to sell personal information or track users across unrelated services for third-party advertising.

Where required by law, HFG will provide appropriate cookie notices, choices, or consent mechanisms.

15. Data Retention

HFG retains personal information for as long as reasonably necessary to provide the Platform, fulfill the purposes described in this Privacy Policy, comply with law, satisfy contractual obligations, resolve disputes, enforce agreements, maintain security, support audits, and preserve business records.

HFG does not intend for Trevor™ or any Platform feature to make solely automated decisions that produce legal or similarly significant effects for clients without appropriate human review.

Advisor, administrator, carrier, organization, or HFG-authorized review may be required before certain actions are completed.

20. Children’s Privacy

The Platform is intended for adults and professional users. The Platform is not directed to children under 13.

HFG does not knowingly collect personal information directly from children under 13 without legally required parental consent.

If we learn that we have collected personal information directly from a child under 13 without required consent, we will take appropriate steps to delete or restrict that information.
